The student-run journals at the University of Pennsylvania Carey Law School have both a professional and an educational mission. These journals serve the legal profession, the bench, the bar, and the academy by providing forums for the publication of original legal research of the highest quality. Journal membership also affords Associate Editors valuable educational experiences through the editorial tasks involved in preparation of a professional publication.

The University of Pennsylvania Law Review and Penn Carey Law Journal Operations Manager ('Journal Operations Manager') plays a critical role in providing a world-class educational environment, supporting our Editors in their training and educational experiences, in their scholarly and community endeavors, and in providing a collaborative and ambitious working environment.

The Journal Operations Manager works primarily (85% of role) in support of the University of Pennsylvania Law Review. Founded in 1852 as the American Law Register, the University of Pennsylvania Law Review is the nation's oldest law review. The Law Review maintains an ambitious publication schedule, produces an active website, and puts on at least one major conference per year.

The Law School's additional student-run journals - the Asian Law Review, the Journal of Business Law, the Journal of Constitutional Law, the Journal of International Law, the Journal of Law and Social Change, and the Journal of Law and Public Affairs - also maintain active publication and conference schedules. The Manager provides subscription and office management support to these journals.

Reporting to the Director of Student and Community Engagement, the Journal Operations Manager effectively and efficiently completes a host of Editor-led and independent projects.

The role is a full-time (35 hours/week with unpaid hour for lunch) position and is eligible for limited hybrid work, with one remote day during the academic year and a more flexible schedule at other times.

Job Description

Responsibilities Include:

University of Pennsylvania Law Review

Representational

  • Serve as primary point of contact for Editors, providing consistency and institutional memory across annually selected editorial boards.
  • Represent the Law Review to various internal and external audiences.
  • Take the lead on all communications, maintaining a rapid response rate to journal inquiries from authors, subscribers, the public, journalists, and others.
  • Provide vital support during annual Writing Competition, through which the journal chooses membership, through document review, organization, and preparation.
  • Maintain and manage alumni lists in collaboration with Development and Alumni Relations.




Administrative Tasks

  • Hire and supervise Office Assistants on an annual basis.
  • Develop and maintain a work flow and best practices across publication cycles.
  • Ensure the completion of a host of projects upon request of the Managing Editor.
  • Edit and produce a variety of manuscripts, documents, presentations, visuals, slide decks.
  • Assist with Editor reimbursement requests and organize requests for approval by the Managing Editor through an online platform.
  • Support range of financial and operational requirements, including
    • Processing Ben Financial entries and purchase orders;
    • Ensure compliance for and payment of invoices, payments, and purchase card and meeting card use and weekly reconciliation;
    • Work closely with Law Business Affairs colleagues to reconcile accounts and monthly financial reports;
    • Develop and maintain systems for recording all accounts payable and receivable transactions for Law Review;
    • Facilitate onboading of annually selected managing student editors to Law Review's banking systems.




Publication Management

  • Facilitate communication with subscription management, bound volume, and online vendors.
  • Develop and implement systems in support of the Managing Editor/Editor plans for publication.




Conference Planning

  • Spearhead planning for and execute large scale events for the Law Review.
    • Ensure effective planning of events for up to 300 attendees; collaborate with Law School staff, the Managing Editor, Editors, faculty, and academic and professional attendees.
    • Assist in planning annual banquet: research venues and vendors; prepare travel accommodations; produce invitations and maintain rsvps.
  • Serve as front-line assistance for students planning small and medium scale events for Law Review throughout the year
    • Provide start-to-finish counsel and support on initial planning, budgeting, logistical operations, communication, implementation and post-event wrap-up.
  • Coordinate gatherings each semester and throughout the summer on and off campus.




Subscription and General Office Support

  • Manage subscription processes for all journals; communicate with subscribers and ensure effective communications about all publications.
  • Develop and maintain systems for recording subscription budgets for each journal.
  • Ensure all Journal office requests are handled expeditiously, including by collaborating with ITS and Facilities on items such as repairs, hardware maintenance, office supplies and beverages, etc. and by keeping office stocked as needed.

Qualifications:


Bachelors and two to three years of experience is required or a high school degree and five to seven years of increasing responsibility in a fast-paced, customer service oriented administrative environment required. Excellent ability to prioritize work and to communicate well with a wide variety of constituents required. Experience with Microsoft tools and online data bases. Ability and interest in professionally representing the Law Review to all constituents, in person and in writing. Must be able to demonstrate commitment to discretion and ability to wisely handle confidential material, as well as strong customer-service ethic and excellent attention to detail. Excellent verbal and written communication skills required. We seek candidates who have established track records as collaborators in the workplace. Commitment to the University of Pennsylvania Carey Law School collaboration work environment and to the Staff Ideals is required.
