Job Description
Are you a highly organized and proactive individual with a passion for supporting executives? We are looking for a dedicated Executive Assistant to provide exceptional administrative support to our high-level clients. In this role, you will work closely with executives to manage their schedules, streamline communication, and efficiently handle administrative tasks. Your responsibilities will involve handling sensitive information, making important decisions, and acting as a key liaison between executives and various stakeholders.
Key Responsibilities:
Schedule and Calendar Management: Coordinate and manage appointments, meetings, conferences, and travel arrangements to ensure efficient use of time and proper task prioritization.
Information Management: Organize and maintain files, records, and confidential information for easy access and retrieval. Conduct research, compile data, and prepare reports or presentations as needed. Update and maintain the client's CRM.
Project Coordination: Monitor ongoing projects to ensure deadlines are met and progress is tracked. Collaborate with team members to gather necessary information for smooth project execution.
Relationship Management: Foster positive relationships with key stakeholders, including clients, partners, and team members. Coordinate meetings, prepare agendas, and take minutes when necessary.
Travel and Logistics Coordination: Make travel arrangements, including flights, accommodations, and transportation. Prepare itineraries and provide essential travel information to ensure smooth business trips.
Financial Administration: Assist in managing financial tasks, such as expense tracking, invoice processing, and budget monitoring. Liaise with the finance department and external vendors as needed.
Meeting Support: Prepare meeting materials, agendas, and presentations. Attend meetings, take notes, and follow up on action items to ensure effective communication and documentation.
Task Delegation: Identify tasks that can be delegated to other team members or external service providers. Monitor the completion of delegated tasks to ensure timely and accurate execution.
Miscellaneous Support: Provide general administrative support, including drafting and proofreading documents and handling other ad hoc tasks as required.
Qualifications:
3-5 years of experience as an Executive Assistant.
Experience with CRM management.
Excellent organizational and time management skills, with the ability to prioritize effectively.
Strong written and verbal communication skills, capable of interacting professionally with stakeholders at all levels.
Proficiency in virtual communication tools, project management software, and other relevant applications.
Ability to maintain discretion and confidentiality when handling sensitive information.
Strong attention to detail and problem-solving skills.
Proactive and self-motivated, with the ability to work independently and meet deadlines.
Flexibility to accommodate different time zones.
Undergraduate degree required.
Compensation and Benefits:
$20 per hour.
Fully remote position.
Paid Time Off (PTO).
