Position Summary: Under the supervision of the Practice Manager and Doctors, the Medical Assistant/Patient Coordinator plays a critical role in ensuring the efficient operation of Snyder Dermatology and Breast & Body Center of Austin. This cross-trained position combines clinical support with administrative responsibilities, offering excellent customer service to patients and prospective patients. The ideal candidate will anticipate the needs of the physicians, assist with patient care, manage scheduling, maintain updated patient charts, and ensure a seamless patient experience from check-in to check-out. The role requires a professional demeanor, attention to detail, and the ability to represent the practice effectively in all external and internal interactions.

Responsibilities and Duties:

Clinical Support:

  • Greet and escort patients to exam rooms, prepare for physician visits by accurately obtaining vital signs, documenting brief histories, and offering gowns to patients.
  • Assist physicians during exams, tests, or procedures, and accurately document information as directed.
  • Set up rooms for procedures by ensuring all necessary instruments, equipment, and supplies are ready.
  • Provide post-operative care instructions, dispense drug samples, and provide prescriptions as directed by the physicians.
  • Prepare specimens for lab processing, including cultures and biopsies, and manage related documentation.
  • Perform suture removals, assist with patient callbacks, and provide patient education as needed.
  • Maintain cleanliness and stocking of exam rooms, autoclave instruments, and manage medical supplies inventory.
  • Ensure compliance with OSHA, CLIA, HCFA, and HIPAA regulations.

Patient Coordination:

  • Greet patients with a smile upon check-in and check-out, and inquire about their visit experience.
  • Manage patient scheduling, including check-ins, check-outs, and follow-up appointments.
  • Verify and update patient demographics, insurance information, and medical histories in the electronic medical records (EMR) system.
  • Process payments, provide receipts, and ensure accurate entry of services and products into the EMR system.
  • Assist with rescheduling patients due to doctor schedule changes and contact patients who missed appointments.
  • Manage medical records requests, process incoming and outgoing faxes, and ensure the front desk area is orderly and stocked.
  • Answer telephones, screen calls, and document patient communications in the EMR system.

Typical Physical Demands: This position is in a fast-paced medical office environment requiring frequent contact with employees and external agencies. The role involves standing for extended periods, bending, stooping, reaching, and lifting up to 50 lbs. Good manual dexterity, full range of motion, and good eyesight and hearing are required. The candidate must be able to handle varied patient flow and maintain a calm, professional demeanor in a dynamic setting.

Regular Hours of Work:

  • Monday through Thursday: 7:30 a.m. – 5:00 p.m. (or until the last patient leaves)
  • Friday: 7:30 a.m. – 1:00 p.m.

Candidates with experience in a medical office are preferred, but we are willing to train the right candidate who demonstrates the necessary skills and professionalism.
