JOB SUMMARY: The Communications Assistant performs a variety of clerical duties while maintaining a high level of customer service and confidentiality. Responsibilities include answering incoming calls in a professional and polite manner, contacting referring physicians at the request of the radiologist and transferring calls as needed.
JOB RESPONSIBILITIES:
1. Answer incoming phone calls in a professional and polite manner. Contact referring physicians at the request of the radiologist and transfer calls as needed. Locate the radiologist for referring physician calls, and if they are unable to be reached, take detailed messages and follow up until the call is returned.
2. Perform reception duties; Welcome guests and visitors and notify appropriate administrative staff of their arrival. Maintain the employee birthday and extension lists, address and mail birthday cards, and send out an updated extension list on a monthly basis.
3. Provide administrative support to the VP of Operations as needed.
4. Fold and post patient letters that are printed out, and post all other outgoing mail on a daily basis. Sort all incoming mail and distribute appropriately.
5. Perform duties of the Cancer conference weekly and the Hepatobiliary conference bi-weekly.
6. Print daily payment log and count cash payments received from the outpatient centers, verifying that the log matches the amount of cash received. Fill out deposit slip and prepare cash for bank courier each day.
7. Order scrubs for new employees and distribute them once they arrive. Prepare monthly scrub invoices and submit them to the accounting department.
8. Perform other related duties as assigned.
WORK EXPERIENCE/EDUCATIONAL REQUIREMENTS:
High school diploma
Clerical skills with 3-5 years of experience; Strong written and oral communication skills.
SKILLS/PHYSICAL REQUIREMENTS:
Ability to work independently with discretion and flexibility with a professional presence
Exceptional written and verbal communication skills.
Strong organizational skills.
This job requires prolonged sitting or standing, frequent bending, stooping, or stretching; Must be able to see with or without corrective eyewear, must be able to hear clearly, with or without assistance. This position may require lifting 25 plus pounds.
