Job Description
By providing high level administrative support to the Parish Manager and assisting with Human Resources, the Administrative Assistant helps maximize the Parish Manager’s capacity to focus on organizational leadership and strategic oversight of parish operations and mission.
Job Requirements:
- Provide high-level administrative support to the Parish Manager, including drafting correspondence, managing sensitive information, coordinating projects, improving current processes, etc.
- Assist in managing the calendar for Parish Manager and parish Priests
- Assist with coordinating internal and external communications
- Maintain confidentiality with the utmost discretion
- Assist in providing resources and guidance regarding HR policies and procedures
- Maintain accurate staffing records: needs, changes, new hires, end of employment, job transitions, etc.
- Oversee the new hire onboarding process, including policy review, staff introductions, facility tours, and computer setup with our IT company
- Serve as a backup for payroll processing, verifying payroll accuracy before submission and processing when Finance staff is unavailable
- Maintains all office equipment
- Trains staff and approved volunteers on general office machines, equipment, and procedures
- Attends and participates in all staff meetings
- Responsible for creating agendas and taking minutes at various meetings
- Maintain a working knowledge of the parish phone system, including service coordination and troubleshooting
- Oversee parish IT needs by liaising with the outsourced IT service provider and ensuring the proper function of computers and servers.
- Provides office support and coverage to other administrative staff as needed
- Works collaboratively with parish staff and volunteers
- Any task deemed necessary by the Parish Manager, Pastor or his delegate
QUALIFICATIONS
- Practicing Catholic in good standing with the Church
- Professional demeanor and appearance
- Must have the ability to exercise good judgment in a variety of situations
- Strong organizational skills that reflect an ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Expert level written and verbal communication skills
- Strong interpersonal skills and ability to build relationships with staff and volunteers in a team environment
- Demonstrate proactive approaches to problem-solving with strong decision-making capability
- Ability to delegate responsibilities to appropriate staff and/or volunteers as needed
- Must be able to work independently, with minimal supervision and frequent interruptions
- Strong working knowledge of Microsoft Office computer applications
- (Word, Excel, Publisher, PowerPoint, Outlook, Access)
- Strong working knowledge of general office machinery (Copier, fax, postage meter, folding machine)
- Understanding of parish sacramental records and diocesan requirements
- Forward-looking thinker who actively seeks opportunities and proposes solutions
- Minimum of four years of relevant experience
- Must be available to work nights and weekends as needed or required
- Ability to lift 25 pounds
